Requirements :

An appropriate three-year National Diploma/ Degree with 3 years’ experience or Grade 12 with 5 years’ experience in Human Resource Management. Experience in Forensic Medical Service will have an added advantage. Knowledge and understanding of the current HR prescripts and public service legislations, regulations and policies. Knowledge of PERSAL and must at least be in possession of an Introduction to PERSAL certificate. Should have the ability to liaise with different stakeholders within the organization. Must be computer literate. Must have a valid driver’s license.

Duties :

Coordinate recruitment and selection processes. Monitor and coordinate PMDS, implement and execute Human Resource functions. Liaise with different work streams at E-government and internally on service benefits issues. Manage and update staff establishment, Coordinate PILIR and supervise staff. Manage and Coordinate employment equity and Skills Development, Render an effective HR advisory service to management and employees. Provide training and support to subordinates. Allocate and control delegated work, provide monthly statistics and reports. Control and provide administrative service and ensure compliance with applicable legislation. Attend to HR related enquiries.

Duties :

To render secretarial, administrative, office and personal support to senior manager. To provide a secretarial/receptionist support service to the manager. Provide support to manager regarding meetings. Support the manager with the administration of the budget. The candidate will be responsible for the following: Perform “front-line” functions by determining the business of persons wishing to have audience with the Manager (in person or telephonic) and admitting/making an appointment/redirecting such persons. Provides secretarial functions to the Manager through organizing the Manager’s affairs: maintaining and organizing the Diary to arrange and prioritise meetings, confirming appointments and reminding the Manager of engagements, arrangement of transport and accommodation. Reply to queries on behalf of the Manager. Compile/type correspondence, documentation, e-mailing, faxing, photocopying. Provides Secretarial functions to meetings of the Manager, through making logistical arrangements, distributions of the notice of meetings and the agenda, takes, prepares and disseminates minutes. Provides Administrative support to the Manager through ensuring the updating and safekeeping of all records, duplication of documents, office provisioning, management of the telecommunications system, receiving correspondence (hard copy and electronic, interpreting, informing the Manager of otherwise dealing with and/or redirecting correspondence, manage and maintain internal filing system. Order stationery, miscellaneous items and other labour-saving devices. Provides for general management of the Office (i.e. keeps the appearance professional). Assists the Manager by sourcing relevant information (searches Internet, newspapers and magazines for what there is and what there is and what is appropriate to the request, reads and interprets), downloads/duplicates and passes the information on to the Manager for their information. Assists with the processing of invoices and payments. Handles petty cash.

Manage and enhance the performance of the SCM directorate, including implementation of recommendation from audit findings (internal and external audit findings), action plans to mitigate against identified risks. Perform other related functions as may be directed by the Chief Financial Officer.

Detailed Description

The successful candidate will be responsible for, among other things, the following key performance areas:

  • Manage the office of the unit’s head and interact with managers and personnel on all levels.
  • Manage and maintain the diaries of senior managers, and this includes making logistical arrangements for appointments and travel for staff of FRM and OpsCom, in liaison with the relevant personnel.
  • Receive, screen and respond to incoming telephone calls and, where appropriate, deal with queries and/or route calls to appropriate personnel.
  • Prepare and edit correspondence, communication, presentations and other documents, and conduct basic research and analysis, where necessary, for this purpose.
  • Collect and coordinate project-based, risk reports and other information on behalf of the risk management team.
  • Review operating practices in own area and implement improvements where necessary.
  • Maintain positive internal and external relationships on behalf of senior managers, and engage with members and stakeholders at all levels of seniority.
  • Create and maintain a contacts database for senior managers’ offices as well as systems in accordance with the File Plan of the SARB.
  • Perform day-to-day duties in an ethical manner that involves maintaining absolute confidentiality in all matters related the unit.
  • Execute ad hoc requests as and when required.

  • two to five years of job-related experience.
